Team Guide for a HSTW Technical Assistance Visit (TAV)

The HSTW state coordinator creates the visitation teams and sends a notice to the team members.
One to two months before the visit, the visitation team leader will contact the team members to go over the agenda, make travel arrangements, and give before-the-trip reading assignments. (Yes, a little homework!)

The team leader or the school's HSTW coordinator will have the final directions related to travel expenses.

The school/LEA provides or reimburses team members (including the team leader and NCDPI staff) for lodging, mileage, meals, and substitute teacher expenses.
Someone from the school/LEA will help the team members complete their travel reimbursement form. This usually occurs on the third day.
Bring three MapQuest printouts showing the distance between the following. These printouts will be used to complete the travel reimbursement form.
- your school/office and the visited school
- your school/office and the hotel
- the visited school and the hotel
Many schools/LEAs will make hotel reservations for the team members and pay the hotel directly.
Most schools provide many or all of the meals for the team members. Meals may be catered in, the team may eat at a local restaurant, or team members may be asked to eat in the school cafeteria. Meals incurred while traveling between home and the school can be reimbursed according to the reimbursement guidelines for the school/LEA.
If a substitute teacher is needed to cover your classes while you are participating in the visit, be sure to inform the team leader.
